Confirm/change hotels of multiple bookings

"Massive actions" are developed to manage different bookings at the same time.

You can also make hotel changes to one or several bookings at the same time with this functionality.

In My Services section, by clicking on the yellow icon of each service, you can confirm the hotels of the same circuit date at the same time.

Firstly, use filters to find the circuit or hotel you need to manage and click on the yellow icon.

For example, you can check the service ID of the booking you need to manage in the Services section of the booking and copy paste the service ID.

E.g.: CIRCUIT_12698 , you will copy and paste "12698" to find the service by service ID as you can see in the picture.

You can use also the service name.

Introduce the date

Introduce the starting date of the service or use the calendar to select it and click NEXT.

Select bookings

You will see the list of bookings there are for this Circuit/Hotel Service on the date you introduced.

If there are bookings with different dates or a different circuit order than those established by default in the Service Agreement (for example, the booking has extra nights at the beginning or end of the circuit), they will be grouped by itinerary. This way, you can manage the bookings that are truly identical (same circuit, same start and end dates and same order).

Using the checkboxes, select all the bookings for which you want to confirm the same hotels and click NEXT (You can select only one, several, or all bookings).

View itinerary

To consult the itinerary of each group, you can click the eye icon. This will open a modal with the hotel's itinerary configuration.

Accommodations confirmed by Exoticca

In the case that a hotel is confirmed by the Travel Operations team of Exoticca, a label will be shown to identify when there are hotels confirmed by Exoticca. This occurs in exceptional cases when you have requested to confirm a hotel outside the Service Agreement exceptionally.

In this cases, if you need to do changes in the hotel, please contact Travel Operations team (europe.bookings@exoticca.com, asia.bookings@exoticca.com...) and explain that you need to change a hotel that was confirmed by Exoticca.

Select Accommodations

The list of the cities, check-in and check-out dates, and accommodations configured on the last Service Agreement will appear.

You can always see the booking numbers you selected and you are going to confirm/modify.

Use the check boxes to select the hotels you want to change/confirm.

Then click on the hotel field and select the hotel you want to confirm from the list (check next pictures).

Change dates

You can also change the check in and check out dates of the hotels of the service.

Click on the calendar of the date you need to change and select the new date.

Confirm/Change hotels

To confirm/change the accommodation of each city, you need to click on the check box of each city and then you can select a Main accommodation or an alternative one.

You can change hotels and dates at the same time, but if you don’t select any checkbox, only the dates will be modified.

Finally, click on “Save changes” and the chosen accommodations will be confirmed in all the bookings you selected. You will see all the confirmed accommodations and success message.
